Publications: blogs and documentation

What a publication is in ProjectHQ, the difference between a blog and documentation, and how to add and set one up.

A publication is a place your articles belong to: a blog or a documentation site. Each one has its own language, writing rules, image style and destination on your website. You can have several in one project, for example a blog per language and a help centre.

Blog or documentation?

Blog Documentation

How pages are shown A list of articles, newest first, plus a calendar A tree of pages you can nest under each other
Planning and auto-articles Yes: Calendar, Opportunities and Auto-articles No. You add pages yourself

  1. Open Publications in the menu.
  2. Click + next to Publications at the top of the list.
  3. Choose the Type: Blog or Documentation.

  5. Pick the Language the articles will be written in.
  6. Click Create.
The New Publication dialog with the Blog and Documentation types, a Name field and a Language picker

The new publication appears in the list on the left. Click a publication to switch to it.

Work with a blog

A blog opens on the Articles tab: one row per article with its image, title, status, topic, address and creation date. Use the Title, Status, URL and Created filters above the table to narrow it down. Click a title to open the article in the editor. The icons at the end of each row are Edit, View Live (once the article is published) and Delete.

The Status column tells you what an article needs:

Status What it means
Writing The AI is writing it.
Review outline / Answer question The AI is waiting for you before it goes on.
Draft Written, not published.
Review to publish Written by auto-articles and waiting for your approval.
Scheduled for publication Goes live on its own on the date you set.
Add images Needs a real image from you, such as a screenshot, before it can go live.
Fix error Writing failed. Open the article to try again.
Not delivered Published in ProjectHQ, but sending it to your website failed.
Published Live on your website.

The Calendar and Opportunities tabs are covered in Plan your content.

Work with documentation

A documentation publication shows its pages as a tree. Hover over a page to see its actions:

A documentation publication shown as a tree of nested pages, with the New page button and the hover actions for adding a child page, moving and deleting a page
  • New page (top right) adds a top-level page. Give it a Title and click Create.
  • + (New child page) adds a page under the one you're hovering.
  • The arrows icon (Move to…) moves a page under another parent, or to Top level.
  • The bin (Delete) deletes the page and every page under it. This can't be undone.
  • Drag a page by its handle onto another page to nest it there. Drop it on an empty part of the list to move it to the top level. A moved page goes to the end of its new parent's pages.

Click a page title to open it in the editor. From there you can write it yourself or ask the AI agent to draft it (see Edit and review an article). You can also have an AI assistant draft pages from outside ProjectHQ; see Use ProjectHQ from ChatGPT, Claude or Cursor.

Publication settings

Click the gear icon (Settings) on the right edge of the Publications page. You can also go to Settings in the menu and pick the publication under Publications. Each publication has six sections:

Section What you set there
General The Name. If your site reads articles from ProjectHQ, also the Address it reads them from. Changing that address breaks any integration that uses the old one.
Writing The Writing defaults described below.
Images The look of generated images, your logo, and which image sources the AI may use. See Images in your articles.
Publishing Where articles go live. See Publish to your website.
Auto-articles The schedule and rules for automatic articles. See Put your blog on autopilot.
Danger zone Delete publication: deletes the publication and every article in it. This can't be undone.

Writing defaults

These apply to every article in the publication, whether you started it or auto-articles did:

  • Subject (optional). What this publication is about, as opposed to what your business is. The topic planner reads it when it chooses what to write.
  • Instructions for every article (optional). House rules the writer always follows, for example "Always include a short summary at the top." Your overall tone of voice belongs in the project's brand voice instead; see Brand, region and competitors.
  • Default author (optional). Who signs the articles auto-articles writes; articles you create are credited to you. Leave it as No author (anonymous) to publish auto-articles without a byline. See Authors and bylines.
  • Audience country and Language. Used for search data and examples, and for the language the articles are written in. They follow your project unless you set them here.

Click Save writing defaults when you're done.
