At ProjectHQ, we take your privacy seriously. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our service.

1. Information We Collect

Personal Information

When you register for an account, we collect information such as your name, email address, and billing information. This information is necessary to provide you with our services and process payments.

Usage Data

We automatically collect certain information when you use ProjectHQ, including your IP address, browser type, operating system, pages visited, and the dates and times of your visits. This helps us improve our service and provide a better user experience.

Website Data

To provide our SEO tracking and analysis services, we collect data about the websites you choose to monitor, including domain information, keyword rankings, and competitor data that you specify.

Webflow Integration Data

When you connect Webflow, we receive an OAuth access token and read the authorized user's email, the sites you authorize, their domains and CMS collection schemas. We may read existing CMS item names, slugs and identifiers to map fields and update an existing article instead of creating a duplicate. We store the token encrypted and keep the selected site's identifier and hostnames with your ProjectHQ project. To publish, we send the article fields and images you select to Webflow through its official API. We do not use a public-page crawler to install the Webflow App. During installation, an encrypted, account-bound authorization is available for up to 15 minutes while you choose a site; expired installation authorizations are removed by periodic cleanup.

2. How We Use Your Information

We use the information we collect to:

  • Provide, maintain, and improve our services
  • Process transactions and send related information
  • Send you technical notices, updates, and support messages
  • Respond to your comments, questions, and customer service requests
  • Monitor and analyze trends, usage, and activities
  • Detect, investigate, and prevent fraudulent transactions and abuse
  • Personalize and improve your experience
  • Connect authorized Webflow sites, map CMS collections, and publish or update the articles you choose
  • Generate or analyze content and images when you use AI features

3. AI Processing

AI features may send your prompts and the project content needed for the requested task to OpenAI for text generation or analysis, and to Google's Gemini services for image generation or image analysis. This can include article text, brand information, images, or content that you choose to add to ProjectHQ. These providers process that information to return the requested result. Connecting a Webflow site does not by itself send its OAuth token or CMS content to an AI provider.

4. Data Storage and Security

We implement appropriate technical and organizational security measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction. Your data is stored on secure servers and encrypted in transit using TLS/SSL protocols.

While we strive to protect your personal information, no method of transmission over the Internet or electronic storage is 100% secure. We cannot guarantee absolute security but continuously work to enhance our security practices.

5. Data Sharing and Disclosure

We do not sell, trade, or rent your personal information. We do share the information necessary to deliver the services you use with the following recipients:

  • Service Providers: With trusted third-party vendors who assist us in operating our service, such as payment processors and hosting providers
  • AI Providers: With OpenAI and Google Gemini when you request AI-powered text or image features, as described above
  • Connected Platforms: With Webflow when you authorize the integration and choose to publish or update CMS content and assets
  • Legal Requirements: When required by law or to respond to legal process
  • Protection of Rights: To protect our rights, privacy, safety, or property, and that of our users or others
  • Business Transfers: In connection with any merger, sale, or acquisition of company assets

6. Cookies and Tracking

We use cookies and similar tracking technologies to enhance your experience. These include:

  • Analytics Cookies: Help us understand how visitors interact with our service

8. Data Retention

We retain your personal information for as long as your account is active or as needed to provide you services. We will retain and use your information as necessary to comply with our legal obligations, resolve disputes, and enforce our agreements.

When you delete your account, we delete or anonymize personal information in active systems within 30 days, except where retention is required for legal or legitimate business purposes. Historical database backups can contain older copies for up to three years under our rotating backup schedule. They are kept for recovery, not routine product use, and expire on that schedule.

Disconnecting Webflow in ProjectHQ deletes our stored OAuth access token. It does not delete your ProjectHQ project, articles, or content and images already published in Webflow. We keep the selected Webflow site identifier and hostnames with the project after disconnection to prevent our public-page crawler from accessing that site. Deleting the project or your account removes that association, subject to the account-deletion and legal retention terms above. Revoking the App in Webflow stops future API access; you can also disconnect it in ProjectHQ to remove the stored token.

9. International Data Transfers

Your information may be transferred to and processed in countries other than your own. These countries may have different data protection laws. We ensure appropriate safeguards are in place to protect your information and comply with applicable laws.

10. Children's Privacy

Our service is not directed to individuals under the age of 16. We do not knowingly collect personal information from children. If you become aware that a child has provided us with personal information, please contact us immediately.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page and updating the "Last updated" date. Your continued use of our service after any changes indicates your acceptance of the updated policy.
