Manage your subscription and invoices

Check your usage, upgrade from the trial, change your card, download invoices, cancel or reactivate your ProjectHQ subscription.

Each project has its own subscription. In ProjectHQ you see its status and what you've used this month. Your card, invoices and cancellation are handled in Stripe's secure billing portal, one click away.

Only the project's owner sees these pages.

Open your subscription

Click Subscription at the bottom of the menu, or go to Settings → Account → Subscription. During the trial and on the free plan the menu shows Upgrade in that place instead, so use Settings.

The Subscription page during a free trial: Free trial status, trial end date, Manage Billing, four usage meters and the Billing Portal card
  1. Status: where your subscription stands (see the table below). The line under it gives the next date that matters.
  2. Manage Billing: opens the billing portal.
  3. Usage: what you've used of each allowance this month, and when it resets. A meter turns amber at 70% and red at 90%. Point at a meter's name to see what it counts.
  4. Billing Portal: the same portal, with what you can do there.
Status What it means The date line says
Free trial You're in your 14-day trial. Nothing has been charged yet. Trial ends …, then the first charge
Active Your plan is paid and renews every month. Renews …
Cancelled You've cancelled. You keep access until the date shown, then the project moves to the free plan. Access until … (or Trial ends …, nothing will be charged during a trial)
Payment Past Due The last renewal couldn't be charged. Stripe tries again.
Waiting for Payment You've just subscribed and Stripe hasn't confirmed the payment yet.

What each allowance includes and what happens when you reach one is explained in Plans, trial and limits.

Change your card or billing details

  1. Click Manage Billing (or the Billing Portal card).
  2. Stripe's billing portal opens. Add or change your payment method, or update your billing details.
  3. Click the link back to ProjectHQ when you're done. You land on Subscription again.

Download invoices

Click Invoices in the menu, or go to Settings → Account → Invoices, then click Open Billing Portal. All your invoices and payments are listed there, ready to download.

The Invoices section in settings with the Open Billing Portal button

Invoices appear once you've been charged, so there's no Invoices item in the menu during the trial.

Upgrade from the trial

Ready before the 14 days are up? Click Upgrade in the menu. Your trial ends at once, the card you added is charged and the full plan's allowances start. See Upgrade before the trial ends.

Cancel your subscription

  1. Open Subscription and click Manage Billing.
  2. In the billing portal, cancel your subscription and confirm.
  3. Back in ProjectHQ, the status changes to Cancelled. It can take a few seconds to update.

What happens next depends on when you cancel:

  • During the trial: you aren't charged. When the trial ends, the project moves to the free plan.
  • On the full plan: you keep everything until the end of the period you've paid for (Access until …). Then the project moves to the free plan.

Nothing is deleted when you cancel. To remove a project and its data completely, see Delete a project.

Change your mind: reactivate

As long as the paid period hasn't ended, a cancelled subscription can be switched back on. On the full plan the Subscription page shows Your subscription is set to cancel. You can reactivate from the billing portal. Click Reactivate and renew it in the portal. Your plan carries on as if nothing happened.

Subscribe again from the free plan

On the free plan, click Upgrade in the menu or at the top of the screen. You go to a secure Stripe checkout. The full plan starts as soon as the payment goes through, and your leads and assistant come back.

If a payment fails

If your card can't be charged at renewal, the status becomes Payment Past Due and the project's pages are replaced by Subscription Required. Your data stays. Click Manage billing on that screen to update your card in the billing portal, and the project opens again once the payment goes through.
